Document Control & CDE

Document control is the legal memory of a project. Common data environments manage revisions, transmittals, review cycles and approvals for drawings and documents exchanged between owner, contractor and hundreds of suppliers, with an audit trail that holds up in a dispute. Standards such as ISO 19650 describe how that information should be organised; the best systems make the process the path of least resistance.

How to choose

Model your real workflows before choosing: supplier document submissions, client review codes, transmittal rules and numbering. The tool must enforce them without heavy customisation.

Decide who owns the environment. Owner-hosted and contractor-hosted CDEs change who controls access, retention and the final handover record.

Plan for handover from day one. Metadata captured during the project is far cheaper than metadata reconstructed for the operator at the end.
